Rules & Policies
Please Note: Parents are not allowed in the gym except for the Parent & Tot classes. Only registered children in classes or team may be in the gym.
INCLEMENT WEATHER (SNOW, RAIN, ETC) CLOSING POLICY
Prince William County Schools Closed:
- Morning classes will be cancelled
- 2:00 pm check web site for information about afternoon/evening classes; an email will be sent to email list on file…be sure we have a current email on file for you.
Prince William County Schools Delayed Opening:
- Morning classes will be cancelled; Gym will open at 2 pm.
Early Closing:
If snow starts before your class start time, before coming in, check our website and your email as this will be the mode of communication for early closings. We will try our best to notify you in plenty of time.
Make up classes for recreational classes missed will be made available, when possible, at the discretion of management.
Rules and Policies:
• Do not wear jewelry, attachments on clothing, or items in the hair.
• Hair must be tied back.
• No loose fitting clothing.
• No gum, candy or food.
Solid and Loose Foam Pit Rules:
• Use the Pit only under the direct supervision of a competent gymnastics professional.
• Always use appropriate progressions and consult with your instructor/coach before attempting a new skill.
• Consult your instructor/coach to determine whether a spotter is needed.
• Become familiar with the training pit by first practicing already learned skills.
• Always be sure to have properly measured steps particularly when tumbling backwards into the pit.
• Never land head first, on your face and chest or in an arched position.
• Always check to see if anyone else is in the pit before entering, and be sure the loose foam has
been adequately fluffed.
• No horseplay in or around the pit.
Trampoline Rules:
• No one is allowed on the trampoline without an instructor.
• Only one person on the trampoline at a time.
• No horseplay on or around the trampoline.
• Do not jump off the trampoline. Always stop bouncing & step off the trampoline onto the side platform.
• Do not stand or jump on side pads or end pads.
• No somersaulting without permission from the instructor.
Tumble Track Rules:
• No one is allowed on the tumble track without an instructor.
• Only one person is allowed at a time.
Registration Policy
There is a non-refundable family registration fee of $80 for each student. This fee is paid at the time you register & is renewed each September. Your child is automatically enrolled in our program through the school year unless we receive a notice of withdrawal on the first day of the last month of attendance. Summer registration for July & August is done separately, but with no additional registration fee. Pro-rating tuition only occurs upon registering after the 1st class of the month. All other months must be paid in full. Refunds will only be given in case of an injury with a doctor’s note on file. Registration pro-rating occurs in January of the following year.
Refunds
Money will not be refunded for missed classes. Tuition will not be prorated for missed classes. Every effort will be made to find an appropriate make-up class. If none are available, other opportunities to make up missed hours may be offered.
Tuition
Full tuition is due on the 1st of the month. A late fee of $15.00 is charged for tuition payment not received in the office on or before the 10th of each month. Please include the responsible parent’s name and the student’s name in the memo section of the check to ensure proper posting of your
payment. Auto payment is available for those who wish to avoid late fees. A $30.00 returned check fee will be charged for all returned checks. In the event of scheduled gym closings, which happen during the 1st through the 10th of each month, tuition may be mailed. Tuition is based on one class
per week with 4 weeks in a month. Some months have two or three weeks (due to holidays) and some have 5 weeks, during the calendar year. Tuition is due each month. Delinquent accounts are subject to being forwarded to our collection agency and subject to any applicable fees. Please note holiday closings and gym vacations to avoid late fees.
Withdrawals
Should you decide to withdraw your child you are required to provide a Drop Class form with your final months tuition payment. If timely notice is not given, you will be responsible for all fees accrued. No pro-rating will be done for withdrawal except in the case of an injury as long as a doctor’s note is provided The Drop form is available at the front desk. Please note that at least 30 days notice is required.
Class Changes
There will be a $5.00 processing fee for children changing classes. There is no charge for changes suggested by your child’s instructor.
Missed Classes
Apollo Gymnastics is under no obligation to provide make-up classes. However, three total make-ups per year will be allowed. Parents must call the gym to notify of a child’s absence in order to receive a make up. Make-up classes need to be scheduled within a month of the missed class. Classes not made up by the end of the following month are forfeited. No make-up classes may be made up after withdrawing from the program. If you miss a scheduled make-up class, we will not be able to offer another opportunity. Make up classes are not carried over into the next session/year. Special Note: Advanced classes that attend twice a week for three hours/week are not eligible for make up classes. Team is not guaranteed makeup classes for inclement weather closing or when coaches are out due to competitions and clinics. They will do their best to cover what they can.
Picking Up Students
Students should be picked up immediately following class. If you will be late picking up your child, please notify the office so your child will not worry. Under no circumstances is your child to
wait outside. If you are continually late in picking up your child, we reserve the right to impose a late pick-up fee per 15 minutes. If you are picking up someone else’s child and it is not a regular carpool, please let the office know of the arrangement.
Parent’s Responsibilities
Children not participating in classes must be under direct supervision of the adult(s) responsible for their care. They may not be left unattended. Please do not allow them to play on the steps, stair railings, run or climb on the chairs and cubbies. Parents are not allowed in the gym at any time except in the case of an emergency.
Child Drop Off
Children may not be dropped off and left unattended prior to classes starting. If a situation should occur and you may need to drop your child off early, please notify the office staff. Siblings not taking classes may not be left at the gym. Children should not be in the gym longer than 5 minutes prior to class start time.
CHILDREN MAY NOT BE OUTSIDE OUR FACILITY UNLESS UNDER DIRECT SUPERVISION OF AN ADULT.
Attire
For the safety of the gymnasts we suggest leotards (without skirts) for girls. Shorts and T-shirts are best for boys. We will permit warm-up pants in cold weather. NO FOOTED TIGHTS ALLOWED. Bare feet are best. Hair must be neatly secured and away from the face. NO JEWELRY ALLOWED EXCEPT FOR
POST EARRINGS. Medical Alert bracelets/necklaces are allowed.
First Aid
Apollo Gymnastics retains staff who are First Aid and CPR certified as well as Safety Certified by the USA Gymnastics Association. In the event a child should become injured, efforts to provide immediate care will be taken (ice, elevation, splinting, etc…). Parents are not permitted in the gym unless escorted by an employee.
Health Policy
Your child may not attend if ill. Children must be free of all symptoms (diarrhea/vomiting/fever) for 24 hours prior to attending class.
Inclement Weather
Apollo Gymnastics closing due to inclement weather ARE NOT ALWAYS in conjunction with local school systems closings. Please call Apollo before arriving for class during inclement weather. Make up classes will be available using the previous mentioned policy. Gym closings will be posted on our website at apollogymnasticsva.com and via email.
